What is a managed LMS? What the provider does each month

A managed LMS is a learning platform a specialist updates, supports and monitors for you. See the monthly work, who owns what and what it costs.

A managed LMS is a learning management system that a specialist provider builds, updates, supports and monitors for you, so your team does not need its own IT staff. At Balanita, you also own the platform, every licence and every account. We build it for you and run it.

In our experience, trouble with an LMS rarely starts on launch day. It starts around month six. A plugin update breaks something during a live compliance course. The person who set the platform up moves to another project, and nobody else knows how it was configured. The build was fine. Nobody was assigned to look after it.

A managed LMS exists for that gap. This guide explains what the provider does each month, who owns what and what it costs, using Balanita’s own published terms. We are specific about the limits too.

How is a managed LMS different from running an LMS yourself or renting one?

With a self-run LMS, your own team builds and maintains everything. With a rented platform, a vendor owns and hosts the software and you use what it offers. With a managed LMS, you own the platform and a specialist runs it. Ownership stays with you. The technical workload moves to the provider.

These are patterns, not rules. Vendor plans differ, so check the terms of any rented platform.

None of the three is wrong. A team with a capable IT department and spare time can run its own LMS well. The managed model suits teams that want a working platform and no technical workload.

What does a managed LMS provider do every month?

Each month, a managed LMS provider tests and applies updates, fixes faults, answers support requests, tracks licence renewals, makes one small change you request and sends a written performance review. Server work such as patching, backups and monitoring runs alongside it as a separate service.

Diagram of the monthly cycle in Balanita Manage: updates, security, fixes and checks, licences, support and one minor change lead to a written performance review by the 5th of the following month. The review covers platform health, learner activity and recommendations, which feed specific actions for the next 30 days.

Here is how that looks inside Balanita Manage, our monthly LMS management service:

AreaWhat happens each month
UpdatesCore, plugin and theme updates are tested before they go live. No untested update goes live.
SecuritySecurity updates for the platform, plugins and theme.
Fixes and checksBug fixes for platform issues that appear during the month, plus broken link and course content checks.
LicencesRenewal dates tracked, with reminders before each one. You pay the renewal, in your name.
SupportTickets or support email, answered within your support window. Learner issues are triaged. Password resets, permission changes and admin access issues are handled the same day.
Single sign-on and integrationsFaults in the ones we built are investigated and fixed.
One minor changeAny change that takes under 30 minutes, such as adjusting a course sequence, adding a user group or reconfiguring an email trigger. Completed within 5 business days.
Content updatesNew lessons you supply, published inside existing courses. Certificate template updates. Learner group and cohort management.
ReportingA written performance review by the 5th of the following month.
Band reviewActive learners counted every month. Your pricing band is reviewed every quarter.

Some work is larger than a minor change. A 100-question quiz, a new course structure or a new integration takes more than 30 minutes. We estimate the time first, and you approve any quoted work before it begins.

What is in a managed LMS monthly performance review?

The monthly review is a written report delivered by the 5th of the following month. It covers platform health and learner activity, then ends with recommendations for the next 30 days. It is a document, not a meeting, so you can forward it to leadership. A review call can be added on request at no extra cost.

SectionWhat it contains
Platform healthUptime for the month, incidents and how they were resolved, and update status.
Learner activityActive learners against your band, enrolments, completion rates and where learners stop.
RecommendationsSpecific actions for the next 30 days, based on your own data.

The last row matters most. A report that only describes the past is a receipt. A report that tells you what to change next is management.

Who looks after the server in a managed LMS?

The server is a separate job from the LMS. At Balanita it is covered by Balanita Server Management: security patches, firewall and hardening, around-the-clock uptime monitoring, daily backups and restoration on request. The server runs on infrastructure you own, usually a cloud account in the region you choose. Balanita manages it but does not own or resell it.

ItemCommitment
Security patchesApplied within 5 business days of a vendor release. Within 48 hours for an actively exploited vulnerability.
BackupsDaily, automated, covering site files and database. Kept for 14 days.
Backup restorationOn request, within 4 business hours.
Uptime monitoringAutomated, around the clock. Alerts are actioned within your support window.
Critical incidentSite down: actioned within 2 business hours.
Planned maintenanceAnnounced 48 hours ahead.

Notice what is missing: an uptime percentage. The uptime of the underlying server and network belongs to your cloud provider, under its own service level agreement. We commit to what we control, which is patching, monitoring, backups and response times. A provider that promises uptime on infrastructure it does not own is promising something it cannot deliver. Here is why the LMS server should be managed separately from the platform.

Who owns the platform, the licences and the accounts?

You do, in the way Balanita works. You buy every licence in your own name, you hold the cloud account and you own the platform. We build and run it on your accounts. If you ever want to move it, we facilitate a clean handover. Here is more on who owns your LMS when someone else builds it.

Every Balanita contract includes a responsibility matrix, so nobody has to guess who handles what:

What does a managed LMS cost?

At Balanita, a managed LMS has three separate prices. The build starts at US$ 4,000 and rises with scope. Monthly management starts at US$ 450 a month for up to 500 active learners. Server Management starts at US$ 150 a month on the same band. Prices are in US dollars and exclude taxes.

Monthly services are priced by active learners. An active learner is anyone who logs in at least once in the billing month. There is no per-seat billing.

The one-time build, Balanita Launch, is priced by scope, not by learner count. The learner number is the limit each build is designed and tested for. We do not promise unlimited learners.

Enterprise2,000 and aboveFrom US$ 15,000, quoted by scope

There is one discount: annual prepayment. Pay for 10 months and get 12, on Manage, Server Management or both. On Band A, that means US$ 4,500 upfront for a year of Manage, an effective US$ 375 a month. Manage has a 12-month minimum. Server Management has no minimum on its own.

Not included in any of these prices: platform, plugin and theme licence fees, your cloud bill, third-party tool subscriptions, course content creation and video production. You pay licences and cloud bills directly, in your own name. The Balanita pricing page has the full rate card, last updated on 25 September 2026.

What does a managed LMS not cover?

A managed LMS does not create your training content, produce video or pay your licence and cloud bills. At Balanita, Standard support runs on Sri Lanka business hours, so an outage outside that window waits until it opens. Teams that need cover in their own hours can add Gold support, quoted to fit.

Not coveredHow it is handled
Course content creationYou supply the content. We structure it and load it.
Video production and editingNot provided. We upload and publish your videos.
New courses and quizzes that take 30 minutes or moreQuoted separately after we review the scope.
New single sign-on or integration buildsScoped and quoted separately.
Uptime of the underlying cloud infrastructureCovered by your cloud provider’s service level agreement.

We would rather say this now than have you find it in month three. Balanita works with corporate training teams and professional training companies of roughly 100 to 5,000 learners, and with international trainers and coaches. We do not currently serve universities or institutes.

How do you know if a managed LMS is the right fit?

A managed LMS fits when you want a working training platform without hiring technical staff. It fits less well when a capable IT team has spare time to run the platform, or when you need content and no platform. If we are not the right fit, we say so on the discovery call.

Before we recommend anything, we ask what outcome you expect from training and how you would measure it. Teams that can answer in specifics often need a build and little else. Teams that cannot are the reason the monthly service exists. The gap between the outcome you want and the platform you chose is where rollouts stall.

What happens on a discovery call?

The discovery call is free and takes 30 minutes, on Google Meet or Zoom. We ask what you are trying to fix, then tell you honestly whether we are the right fit. No platform is named on the call. A written summary of the call and our recommendation follows by the next working day. If you go ahead, the exact scope, deliverables and first-year cost are confirmed in writing before any payment.

Frequently asked questions

What is the difference between a managed LMS and a hosted LMS?

A hosted LMS only means the software runs on someone else's server. A managed LMS goes further: a provider also updates it, fixes faults, answers support requests and reports on how it performs. Hosting is one part of the work. Management is the ongoing care around it.

Do I still own my LMS if a provider manages it?

With Balanita, yes. You buy every licence in your own name and hold every account, including the cloud account the server runs on. We build and run the platform on your accounts. If you want to move it, we facilitate a clean handover.

How much does a managed LMS cost?

At Balanita, monthly management is US$ 450 a month for up to 500 active learners and US$ 950 for 501 to 1,500. Server Management is US$ 150 and US$ 300 a month on the same bands. Paying a year upfront gives 12 months for the price of 10. Larger bands are quoted. The one-time build starts at US$ 4,000.

What happens if the LMS goes down outside support hours?

Alerts that arrive outside your support window are logged and actioned when the window opens. Standard support follows Sri Lanka business hours. Gold support follows your own business hours in your own time zone and is quoted based on your requirement level. Cloud infrastructure uptime stays with your provider's service level agreement.
